The Reports menu answers money and growth questions: what came in, who bought what, who is late. The Utilities menu is the machine room: the logs, the automation status, a calendar, a to-do list, a WHOIS lookup, the health of the server, and tools to clean and check the database. This chapter walks through both menus. The groups themselves are introduced in The admin tour.

Reports

Open Reports → Reports for the index: one card per report. Every report is a page of its own with a filter at the top, a note under the filter (it names the currency the amounts are shown in), an optional bar chart and a table. Amounts from clients who pay in other currencies are converted into your default currency, using the rates from Currencies.

Every report has a CSV button in the page tools. It downloads exactly what the table shows, filters included, as report-<name>-<date>.csv, with plain numbers (two decimals, no currency sign) so a spreadsheet can add them up. All reports need the View Reports permission.

The top bar menu Reports lists the first nine reports directly; the rest are on the index page.

Logs

The logs are under Utilities. Each has filters, and the ones that grow quickly have a Clear form ("Delete entries older than N days"). Clearing needs the System Cleanup Operations permission. See also Cleaning up below.

Automation Status

Utilities → Automation Status shows whether the cron is working. At the top: the Heartbeat (Alive when the cron ran in the last 15 minutes, Stale if not, No if never), the last cron run, the hour after which the daily jobs run, and a link to Automation Settings. Below, a table lists every job with its last run, result (OK or Failed, with the message), how long it took and its runs in the last 7 days. Run now runs one job at once and shows its output; this needs shell_exec to be allowed on the server, otherwise run the cron from the command line. Recent failures lists the last ten. The jobs are explained in Automation.

Calendar

Utilities → Calendar is a month view, Monday first. It shows your own events (title, date, optional times, All Day, notes) and, drawn automatically, unpaid invoices falling due, domains expiring, services renewing and to-do items. Click a day to add an event; click an event to edit or delete it.

To-Do List

Utilities → To-Do List keeps tasks for the staff: Title, Description, Due Date, Assigned To (anyone or one administrator) and Status (New, Pending, In Progress, Completed, Postponed). Filter by status, complete a task in one click, edit or delete it. Open tasks with a due date also appear in the calendar.

WHOIS Lookup

Utilities → WHOIS Lookup asks the WHOIS server of an extension about a domain. The answer is the raw record with a short summary: Available, Registered, Not sold here (you do not sell that extension), Invalid or Could not tell. A table lists your extensions with their registration price. The same check powers the domain checker in the store.

System Health & PHP Info

Utilities → System Health & PHP Info is the page to open first when something misbehaves. It shows the AIOBilling, PHP and MySQL versions and the free disk space; the PHP extensions (pdo_mysql, curl, mbstring, json, openssl, zip, gd, fileinfo, intl) with Missing in red; the PHP limits (memory_limit, max_execution_time, upload_max_filesize, post_max_size, max_input_vars, date.timezone, disable_functions); whether the folders data, data/logs, data/cache, data/tmp, uploads and the upload sub-folders are Writable; the cron heartbeat, the licence state, the mail method (PHP mail() or SMTP), the database size, the operating system, the PHP interface, the server software and the time zone. The full phpinfo() opens in a frame for administrators with the View PHP Info permission.

System Cleanup

Utilities → System Cleanup (permission System Cleanup Operations) removes what you no longer need:

• Old log entries - delete every entry older than N days (default 90) from all six logs, or from one log you pick: Activity, Module, Email message, Automation, Gateway or Admin log.
• Sessions - ends every signed-in session except yours.
• Cache and temporary files - empties data/cache and data/tmp.
• Sign-in attempts - clears the attempt records and the expired IP bans.
• Orphan attachments - deletes ticket attachment files that no ticket points to.

Each button asks to confirm and writes a line in the Activity Log.

Database Status

Utilities → Database Status lists every table with its engine, collation, rows, data size, index size and total, and the total of all. Optimize repairs the fragmentation of one table; Optimize All Tables does it for all. On a busy installation run it now and then, outside the busy hours. Schema changes of a new version are applied from Update, not here.

Utilities → What's New shows what each version of AIOBilling brought, with the installed version marked, and the message the License Center has for this installation.
